Click Participants to access the window for participants enrolled in this course.

Course

A course designates any type of training-related activity, such as a seminar, professional training or a course, in the literal sense. It may prepare an employee for a job or task by allowing him/her to acquire a skill or skills.
Once the manager has defined a training plan and prepared the appropriate budget, he/she will be ready to:

  • Create the training courses
  • Set up the training groups for the courses given
  • Assign participants to courses or groups

After having selected a current course, in the list window on the left, the user arrives at the Courses and groups input screen, comprised of four tabs.
The ID and name of the selected course are displayed at the top of the window, in red.

Description TAB

French title

Enter the French title of the course. This field, marked with an , is mandatory; it must be filled out when creating a new course.

English title

Enter the English title of the course.

French - Description

Check this box to go to a window where you can enter a short description of the course objective in French.

French - Course syllabus

Check this box to go to a window where you can enter a short description of the course syllabus in French.

English – Description

Check this box to go to a window where you can enter a short description of the course objective in English.

English - Course syllabus

Check this box to go to a window where you can enter a short description of the course syllabus in English.

Notes

Check this box to enter free text regarding the course.

Documents

Click this field to document, in a window, course-related documents.

Event type

Use the pull-down menu, select the type of event,
e.g. EXTERNAL - external course - INTERNAL - internal course;
this field, marked with an , is mandatory;
it must be filled out when creating a new course.
  The event type is used as the first level in grouping courses in the listing window on the left.

Course type

Use the pull-down menu to select the type of course, e.g. ELI - Eligible - NON-EL - Non-eligible.

Level

Enter the course level, in accordance with the company's classification.

May be repeated

Check this box to specify that the course could be taken more than once.

No longer available

Check this box to specify that the course is no longer given.

Show on E.S.S.

Check this box to allow the employee to sign up for the course him/herself.

Enrolled in this course

The number of students enrolled in the course is displayed to the right of the label, in red.

No group assigned

The number of students enrolled in the course, but who have not yet been assigned to a specific group, is displayed to the right of the label, in blue.

Resources tab

Languages taught in

Specify in what languages the course will be offered. Multiple languages may be chosen from a table of languages.

Suppliers

Specify the supplier who provides the course.

Trainors

Identify the trainors for this course. Multiple trainors may be chosen from a table of trainors.

Rooms usable

Specify in what rooms the course will be offered. Multiple rooms may be chosen from a table of rooms.

Resources needed

Specify the resources required for the course(computers, projectors etc). Choose multiple resources from a table of resources.

Schedule

Specify the days of the week, the times, duration and number of meetings for the course.

Cost tab


In the first section of this tab assign the fixed cost for each group and student excluding salaries.
In the second section assign the salary cost per participant as the number of student hours. If the trainer is an in-house trainer you may also assign the trainer hours salary cost.
These costs will be used in Quebec to complete the 1% Training Law Declaration.

Prerequisites and skills


You can qualify who is eligible for this course by either status or other criteria.
You may also specify

  • languages
  • education
  • Job
  • Computer skills
  • Machines
  • Management
  • Networking
  • other courses
  • Or other prerequisites defined by an expression.

Participants


This screen shows you who the course participants are, the status of the course for each person (planned, in progress, completed, or cancelled), the start and end date of the course and the grade achieved.
Click to add a new participant to the course.

Group

To create a group, click on the desired course, then click on NEW from the top toolbar and choose NEW GROUP from the drop down list.

This will open the group input screen

Group description tab


In Group, you can assign a group id or leave blank to assign automatically.
In Term, indicate the course term, you may add notes. In documents, you may attach pertinent documents.

Next you may assign a maximum number of students for the group, if the group is closed, and indicate to show the group on ESS(Employee Self Serve).

Group Resources tab


This tab is used to indicate

  • the language the course is taught in for this particular group
  • the supplier for this group
  • the group trainer
  • the room used for this group
  • any resources required by the group

Next under Schedule, indicate the start and end dates and the total course hours for this group.
OR by clicking on you can build a list of meeting times.

Group Cost tab


This tab is used to assign fixed and student costs for this group.
Click SAVE to finish creating the group.
